Sport Team Camps – Rules & Conditions

1. General Conditions

• 1.1. These Rules & Conditions apply to all football and sports team camps organized by Ayman Sports Agency
• 1.2. By confirming a camp booking, the team, club, academy, agency, or authorized representative confirms that they have read, understood, and accepted these Rules & Conditions
• 1.3. The final services included in each camp are those stated in the official quotation, invoice, booking confirmation, or signed camp agreement
• 1.4. Camp services may vary according to the selected destination, hotel category, number of participants, dates, and selected package

2. Booking & Confirmation

• 2.1. A camp booking is considered confirmed only after Ayman Sports receives the required deposit or payment specified in the quotation
• 2.2. A booking is subject to availability of hotels, training facilities, stadiums, transportation, friendly matches, and other requested services
• 2.3. The final number of players, coaches, staff members, and accompanying persons must be confirmed before the final booking deadline
• 2.4. Any additional participant added after confirmation is subject to availability and may result in additional charges
• 2.5. The client is responsible for providing correct passport and participant information

3. Payment Conditions

• 3.1. The payment schedule will be stated clearly in the quotation or invoice
• 3.2. Deposits may be non-refundable where Ayman Sports has already made commitments or payments to hotels, facilities, transportation companies, federations, clubs, or other suppliers
• 3.3. The remaining balance must be paid according to the agreed payment deadline
• 3.4. Bank transfer, currency exchange, transfer charges, and payment processing fees are the responsibility of the client unless otherwise agreed in writing
• 3.5. Ayman Sports reserves the right to suspend or cancel services where agreed payments remain outstanding

4. Hotel & Accommodation

• 4.1. Accommodation will be provided according to the hotel category and room type confirmed in the booking
• 4.2. Room allocation is subject to hotel availability
• 4.3. Check-in and check-out times are determined by the hotel
• 4.4. Any damage to hotel rooms, facilities, equipment, or property caused by members of the team is the responsibility of the client
• 4.5. Additional hotel services such as minibar, laundry, room service, telephone charges, extra meals, or personal expenses are not included unless specifically stated
• 4.6. Hotel changes may occasionally be required due to availability or operational circumstances. If this occurs, Ayman Sports will make reasonable efforts to provide accommodation of the same or an appropriate standard

5. Meals

• 5.1. Meals will be provided according to the selected meal plan, such as Breakfast (BB), Half Board (HB), Full Board (FB), or All Inclusive, where available
• 5.2. Special dietary requirements must be communicated before arrival
• 5.3. Personal food, drinks, snacks, and meals outside the agreed package are the responsibility of the client

6. Training Facilities

• 6.1. Training sessions will be organized according to the confirmed camp schedule
• 6.2. Training fields and facilities are subject to availability and local operating conditions
• 6.3. Training times may be changed when necessary because of weather, facility availability, transportation, matches, or other operational circumstances
• 6.4. The team must follow the instructions and regulations of the training facility

7. Friendly Matches & Sports Activities

• 7.1. Friendly matches will be arranged according to the agreed camp program and availability of suitable opponents
• 7.2. Opponent level, location, kick-off time, and venue may be subject to change
• 7.3. Ayman Sports does not guarantee a specific opponent unless expressly confirmed in writing
• 7.4. Match cancellations or changes caused by weather, clubs, stadium availability, federation requirements, or other circumstances outside Ayman Sports' control may require rescheduling or an alternative arrangement

8. Transportation

• 8.1. Transportation included in the package will be provided according to the confirmed itinerary
• 8.2. The team must follow the agreed transportation schedule
• 8.3. Delays caused by the team may result in additional transportation costs
• 8.4. Any additional transportation requested outside the confirmed program may be charged separately

9. Team Conduct & Discipline

• 9.1. All players, coaches, officials, and accompanying persons must behave respectfully toward hotel staff, drivers, coaches, opponents, facility staff, and other guests
• 9.2. Fighting, threatening behavior, harassment, discrimination, vandalism, theft, possession of illegal substances, or serious misconduct is strictly prohibited
• 9.3. The client is responsible for the behavior of all members of its delegation
• 9.4. Serious misconduct may result in removal of the individual from the camp without refund
• 9.5. Any financial damage caused by a team member must be paid by the client or responsible individual

10. Player & Participant Requirements

• 10.1. All participants must provide valid identification/passport documents when requested
• 10.2. Participants must be physically fit and capable of participating in football and sports activities
• 10.3. The client must inform Ayman Sports of relevant injuries, allergies, dietary requirements, or other safety information before the camp
• 10.4. Players must use appropriate sports clothing, football boots, shin guards, and other required equipment

11. Visa & Travel Documents

• 11.1. Where visa assistance is included, Ayman Sports will provide the agreed coordination or documentation support
• 11.2. Visa approval remains the responsibility of the relevant embassy, immigration authority, or government authority
• 11.3. Ayman Sports cannot guarantee visa approval
• 11.4. Visa fees, government charges, embassy charges, insurance, flights, or other travel expenses are included only when specifically stated in the booking
• 11.5. The client is responsible for ensuring that passports and travel documents are valid

12. Cancellation & Refund Policy

• 12.1. Cancellation requests must be submitted in writing
• 12.2. Refund eligibility depends on the cancellation date and the amount already committed to third-party suppliers
• 12.3. Hotel deposits, transportation reservations, training facilities, match arrangements, visa procedures, invitation letters, government fees, and other third-party expenses may be non-refundable once committed or paid
• 12.4. Cancellation after the camp has started normally does not qualify for a refund for unused services unless otherwise agreed in writing
• 12.5. No refund is normally provided for: failure to attend, late arrival or early departure, personal reasons, player withdrawal, disciplinary removal, travel delays caused by the client, incorrect or incomplete documents, visa refusal where third-party costs have already been incurred
• 12.6. Any approved refund will be calculated after deducting non-refundable third-party costs and applicable administrative charges

13. Changes to the Camp Program

• 13.1. Ayman Sports reserves the right to make reasonable changes to the camp schedule when necessary
• 13.2. Changes may be required because of weather, transportation, facility availability, hotel availability, match scheduling, government regulations, or other operational circumstances
• 13.3. Ayman Sports will make reasonable efforts to maintain the agreed quality and overall objectives of the camp

14. Force Majeure

• 14.1. Ayman Sports shall not be responsible for failure or delay caused by circumstances beyond its reasonable control
• 14.2. Such circumstances may include natural disasters, severe weather, epidemics, war, strikes, government restrictions, political events, airport closures, transportation disruption, facility closures, or other extraordinary circumstances
• 14.3. Where possible, Ayman Sports will attempt to provide an alternative service, reschedule activities, or offer another reasonable solution

15. Insurance & Personal Belongings

• 15.1. Participants are strongly recommended to have valid travel and sports insurance covering medical treatment, accidents, baggage, and travel disruption
• 15.2. Ayman Sports is not responsible for the loss, theft, or damage of personal belongings unless caused by proven negligence of staff
• 15.3. Players should keep passports, money, phones, and valuable personal items secure

16. Photography & Media

• 16.1. Team photographs and videos may be taken during training sessions, matches, and camp activities for documentation and promotional purposes
• 16.2. Where a client requires restrictions on photography or media use, this must be communicated to Ayman Sports before the camp

17. Complaints

• 17.1. Any problem during the camp should be reported immediately to the Ayman Sports camp representative so that reasonable action can be taken
• 17.2. Complaints submitted after the camp should be made in writing within a reasonable period and include relevant details and supporting documents

18. Acceptance

By making payment or confirming the booking, the client confirms that:

• The information provided is accurate
• The client has read and accepted these Rules & Conditions
• The client accepts the payment and cancellation conditions
• The client accepts responsibility for the conduct of its delegation
• The client agrees that services are subject to availability and the confirmed camp agreement
